Effective Date: October 20, 2026
Last Updated: October 20, 2026
This policy explains how Caring Conversations Center, LLC (“Caring Conversations Center,” “we,” “us,” or “our”) collects, uses, and shares information through this website, website forms, and email and SMS subscriptions. Our Notice of Privacy Practices explains our privacy practices for protected health information relating to care, including inquiries and information received through SimplePractice. Our Notice of Privacy Practices may apply to information submitted through the website. If they address the same protected health information differently, the Notice of Privacy Practices and applicable law govern our handling of that information.
1. Scope and contact
1.1 Website and clinical services
Information submitted through a website form or care inquiry may qualify as protected health information, including before someone becomes a client. Our Notice of Privacy Practices explains how we handle protected health information and the rights that apply. This notice is available through the website footer or upon request.

2. Information we collect
2.1 Information you provide
When you use a general website form, we may collect the name, email address, telephone number, and message or other information you choose to provide. An email or SMS subscription collects your email address or telephone number, as applicable, any optional information requested on the signup form, and records of your subscription and opt-out choices. If you contact us by email or telephone, we receive the information you communicate and information needed to respond.
General Wix forms are intended for nonclinical questions. Please do not enter symptoms, diagnoses, treatment history, insurance details, or other sensitive health information in a general website form or newsletter signup. Use the designated SimplePractice inquiry form for questions about receiving care. If you submit health information through a general form or email, we handle it according to applicable privacy and confidentiality requirements.
2.2 SimplePractice inquiries
Our website may display a SimplePractice contact or appointment inquiry form within an embedded frame. Information you enter in that form is submitted through SimplePractice for our practice to review and respond to your inquiry. The form may request contact details and information about the services you seek. SimplePractice operates the form and related client portal under its applicable notices and agreements.
2.3 Information collected during a website visit
When you visit the website, the website platform and permitted technologies may collect technical information such as your IP address, browser and device type, operating system, approximate location derived from an IP address, referring page, pages visited, time of visit, and interactions with site features. Cookies and similar technologies may record preferences, support security, and measure website use, as described in Section 5.
3. How We Use Your Information
We use website information to operate, secure, and improve the site; respond to questions and inquiries; manage email and SMS subscriptions and deliver communications you have opted to receive; understand site performance where permitted; honor privacy choices; prevent misuse; and meet legal obligations.
4. When information is shared
4.1 Service providers
We use third-party service providers to operate our website, communicate with subscribers, and support our practice. These providers may collect, store, or process information needed to perform their services, subject to applicable privacy laws, contractual safeguards, and their privacy policies.
4.1.1 Wix
Wix supports our website hosting, website forms, contact management, and email and SMS communications. It processes information you provide through our forms or subscription sign-up, including your name, email address, telephone number, and communication preferences. We use this information to send marketing emails and SMS messages you have opted to receive. Wix may also process technical and usage information, such as your IP address, browser and device information, interaction logs, and message delivery and engagement data, to operate, secure, and maintain these services. To learn more, visit WIX’s Privacy policy: https://www.wix.com/about/privacy
4.1.2 SimplePractice
SimplePractice provides our embedded inquiry form and practice management services. Information you submit through the embedded form is processed through SimplePractice to help us respond to your inquiry and coordinate services. Clinical information handled through SimplePractice is also subject to our Notice of Privacy Practices and applicable confidentiality requirements. To learn more, visit SimplePractice’s Privacy policy: https://www.simplepractice.com/privacy/
4.1.3 Google Analytics and Google Search Console
We use Google Analytics to understand website traffic and visitor interactions. Depending on our configuration and your consent choices, Google may process information such as your IP address, browser and device information, pages visited, time spent on the site, and interactions with website content. Google Search Console separately provides reports about our website’s appearance and performance in Google Search, including search queries, impressions, and clicks. To learn more, visit Google’s Privacy policy: https://policies.google.com/privacy
4.1.4 Other Service Providers
We may use additional service providers for necessary security, technical, or professional support. We limit their access to information needed to perform their services. Protected health information may be provided to authorized service providers only as permitted by law and with a business associate agreement when required. We do not permit protected health information to be sent to Google Analytics.
4.2 Other Circumstances
We may disclose website information when you direct us to do so, when needed to protect the security or rights of the practice and others, or when required or permitted by applicable law. We may also transfer information in connection with a lawful organizational transaction, subject to applicable confidentiality obligations. We do not sell personal information or use it for cross-site behavioral advertising.
5. Cookies and website analytics
5.1 Types and purposes
The site uses cookies or similar technologies necessary for its operation and security. It may also use functional technologies to remember choices and analytics technologies, including Wix Analytics, to understand aggregate use and improve the site. These technologies may be set by Wix, Google Analytics, or another service that supplies a feature appearing on the site. The specific tools and cookies in use may change when site features change; the cookie preferences interface provides current categories and available choices.
5.2 Your choices
Where offered, you can accept or reject nonessential cookies and revise your choices through the site’s cookie preferences control. You can also use browser controls to remove or block cookies, although some site functions may then work differently.
6. Email and SMS subscriptions
If you choose to subscribe, Wix stores and uses your subscription information to send the emails or SMS messages you have opted to receive and to manage delivery. You can unsubscribe from emails through the unsubscribe link or by contacting us. You can opt out of SMS messages by following the instructions provided in the messages or by contacting us. We may retain a limited record of your opt-out preference so we can honor it. Requesting care or becoming a client does not automatically enroll you in marketing communications. Marketing emails and SMS messages should not be used to send sensitive clinical information. When applicable law requires authorization to use protected health information for marketing, we obtain that authorization.
7. Retention and security
7.1 Retention
We keep general website submissions, subscription records, and technical information for as long as reasonably needed for the purposes described here, including responding to requests, maintaining the website, honoring unsubscribe choices, resolving disputes, and meeting legal obligations. Retention depends on the type of information, the reason it was collected, and applicable law.
7.2 Safeguards
We use administrative, technical, and physical safeguards appropriate to the information involved and limit access according to job responsibilities. No internet transmission or storage method is completely secure. We use Wix’s available PHI protection and applicable business associate arrangements for covered website functions, and SimplePractice for clinical inquiries and practice functions. Please avoid sending sensitive clinical information through ordinary email or general website forms.
8. Your choices and privacy requests
You may ask us to update or delete information you submitted through a general website form, request information about our website privacy practices, opt out of email or SMS subscriptions, or change available cookie preferences. Depending on applicable law and the information involved, you may have additional rights to access, correct, delete, obtain a copy of, or limit certain uses of personal information, and to appeal a decision on a privacy request. We will respond to requests as required by applicable law and may need to verify your identity. Certain records must be retained or handled under health privacy and records laws. For rights concerning protected health information, including medical record access and amendments, use the procedures in our Notice of Privacy Practices. Contact us using Section 1.2.
9. Children and external services
9.1 Children
General website forms and email or SMS signups are intended for adults or for use with the involvement of a parent or legal guardian. We do not knowingly use the email or SMS signup to collect information directly from children under 13 without the consent required by law.
9.2 Links and embedded services
Our website may link to websites or display content operated by others. Their privacy practices may differ from ours. Review the notices for any external service you choose to use.
10. Changes to this policy
We may revise this policy when our website practices or legal requirements change. The Last Updated date above identifies when this policy was most recently revised. Material changes will be posted on this page, and we will give any additional notice required by law.
